Position Summary

Full Time Position.  Coordinates administrative office services such as coordinating general business activities for themselves and others, appointment-setting, records control, and other administrative activities. Interprets operating policies. Exercises independent judgment in the resolution of administrative problems.

Essential Duties and Responsibilities

The essential functions include but are not limited to the following:

Customer Service:

  • Fields incoming calls to the organization with a smile and every intention to assist the caller
  • Assists supported users with ticket creation
  • Assists with client communication as needed

Accounts Payable/Accounts Receivable:

  • Completes the processing and filing of accounts payable invoices
  • Creates, monitors, and processes accounts receivable invoices
  • Tracks and reviews vendor work for invoice accuracy
  • Assists with troubleshooting and resolving items related to invoices and submittals
  • Coordinates collection and preparation of financial and operations reports

Management/Office Support:

  • Coordinates and implements general office services such as appointment-setting, records control, and other administrative activities
  • Assists sales/project team with pre-sales efforts
  • Conducts warehouse/client asset and hardware inventory as requested
  • Completes inventory of office supplies and orders on an as-needed basis
  • Assists support/warehouse personnel with packaging and shipping of hardware
  • Assists with supplier interactions, quote requests, PO placements, and follow-ups
  • Locates and compiles information; formats reports, graphs, tables, records, and other sources of information
  • Assists with special events planning
  • Uses various software applications such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports
  • Supports President/CEO on various tasks as assigned

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • High School Diploma or equivalent required
  • Three years of related experience or relevant coursework
  • Able to exchange non-routine information using tact and persuasion as appropriate
  • Good oral and written communication skills
  • Experience in QuickBooks Online preferred
